Position Summary:
The Administrative Assistant for Membership is a highly collaborative position that provides administrative support to the MPR and APM Membership teams. The Administrative Assistant works closely with the membership teams and finance to manage expenses by creating purchase orders, processing invoices, and working with vendors to process nearly $2M in program expenses each year. The Administrative Assistant runs and processes weekly reports that support membership functions like gift acknowledgements and membership renewals. This role also provides general administrative support including coordinating meetings, sorting mail, ordering supplies, and supports on-air member drives by coordinating catering.
The Administrative Assistant will report to the Director, Regional Membership with a dotted line to Director, National Membership and is located in St. Paul, Minnesota with remote work options.

Position Responsibilities:
- Create and manage purchase orders and process invoices in a timely, detailed, and thorough manner.
- Support budget projections in collaboration with teams, Directors, and finance department by running reports and entering information into TM1 budgeting program.
- Put together reports and lists to support Membership processes including but not limited to acknowledgements, payment recapture, renewals, member cards, and suppression lists for direct mail and telemarketing.
- Lead coordination for the Tax Substantiation process with a cross functional team including Philanthropic Development, Audience Insights, Regional and National Membership, IT, and Member and Audience Services.
- Set up and assist with departmental meetings and other administrative needs.
- Coordinate office supplies for the departments and sort mail as needed.
- Coordinate catering for Member Drives.
Required Education and Experience:
- High School degree or equivalent required.
- Three or more years administrative support experience or equivalent, including one year of administrative assistant experience.
- Significant experience using MS Outlook, Word, Excel, PowerPoint and database software.
- Previous experience supporting multiple people and more than one activity in a fast-paced environment.
Required Skills, Knowledge and Abilities:
- Accuracy and careful attention to detail required.
- Practiced in logistics support for meetings.
- Initiative and ability to work independently and as part of a team.
- Organizational and time management skills with the ability to independently follow-through to successful completion of projects within a deadline.
Preferred Skills and Experience:
- 3 years of administrative assistant experience
- Knowledge of finance software (Lawson)
- Knowledge of fundraising software (Enterprise)
- Experience working in non-profit fundraising

- Travel up to 25%
