POSITION: Data Administrator
STATUS: Full-time, exempt
REPORTS TO: Director of Membership
Position Summary:
The Data Administrator ensures the fundraising success of Pittsburgh Community Broadcasting by provide data management and administrative services for the Membership department and Major Giving along with payment processing services for all of Pittsburgh Community Broadcasting.
Essential Functions:
- Data Management:
- Maintain donor records and update them as needed
- Verification and upload all online donations and transactions
- Reconcile payment discrepancies
- Coordinate credit card recapture and “precapture” process, reaching out to members who payments were declined and whose credit cards are about to expire
- Oversees the monthly renewal process
- Run all daily, weekly, and monthly processing, including lists for email and traditional direct mail appeals (add gift, rejoin, acquisition, upgrade) and pledge bills
- Daily follow-up on incomplete online donations
- Manage online donor portal, including activating accounts and approving transaction requests
- Run recommended processes and reports to maintain clean records, update addresses, giving history, address any abnormalities
- Updates and maintains email lists
- Run and distribute other reports as needed
- Import and export data as needed
- Payment Processing:
- Process all mail payments, create daily deposits, manage direct deposit donations and reconcile all batches
- Run bi-monthly credit card and EFT payments
- Process and enter non-membership gifts
- Administrative Services:
- Assists with preparation of fundraising and stewardship direct mail efforts, including premium fulfillment
- Assists with preparation of Membership and Major Giving materials
- Assists with creating and archiving Membership and Major Giving documentation
- Assists with updated Mid-level and Major Giving records with moves management activities.
- Assists with member communication and customer service
- Attend and participate in weekly team meetings and other meetings as directed
- Other duties as assigned, including support of on-air membership drives
Knowledge, Skills and Abilities:
- Highly organized self-starter with strong time management skills and excellent attention to detail
- Understanding of basic non-profit business finances
- Data analysis
- Strong customer service skills
- Impeccable discretion and ability to maintain confidentiality in all donor matters
- Ability to manage multiple projects at once and meet deadlines as required
- Ability to take direction as well as be an enthusiastic team player
- Excellent communication skills, both written and verbal
- Strong judgement, sense of ethics, integrity and accountability
Requirements:
- 2-3 years previous experience in database management
- Strong working knowledge of Microsoft Office
- Experience with e-mail systems such as MailChimp
- Previous experience in non-profit fundraising and membership management
- Ability and willingness to work occasional evenings and weekends, with some long days required during peak fundraising times
- Honesty and integrity in all dealings
- Enthusiasm for the missions of PCBC and its stations.

Work Environment
Pittsburgh Community Broadcasting places a high priority on employee safety and well-being; given the current COVID-19 pandemic, access to the Community Broadcast Center is restricted and most operations are remote.
This position routinely requires use of standard office equipment such as computers, phones, photocopiers, filing cabinets and printers in addition to professional audio capture and production devices. Typical office hours are Monday -Friday, 9:00 – 6:00, however, evenings and weekend work may be required.
