The Opportunity

OPB seeks a friendly, organized and detail-oriented individual to be our part-time Mail Clerk/Fill-In Administrative Services Assistant. This position is central to OPB, and you’ll have the opportunity to work with people across all departments.

 

Position Details

The Mail Clerk/Administrative Assistant operates OPB’s mailroom, including sorting, distributing, and shipping mail and packages. Fills-in for receptionist during breaks and days off.

 

Responsibilities

65% – Operate OPB mail room, including:

  • Open, sort and date-stamp incoming mail and prepare daily check tally
  • Account for postage expense by department and/or project as required.
  • Sort and distribute mail to various departments
  • Control postage acquisition and postage accounts
  • Prepare outgoing US mail, UPS, FedEx, international mailings and shipments, and other ground and air shipments
  • Receive and sign for FedEx, UPS, and other deliveries and deliver to appropriate staff
  • Assist with mailing and shipping projects
  • Deliver outgoing mail and packages to post office or postal service
  • Drop off bank deposits

10% – Operate front desk as receptionist. Generally:

  • Welcome and support OPB staff
  • Greet and assist Sign them in and out and connect them with staff as appropriate.
  • Answer phone calls and respond to inquiries or transfer callers as appropriate.
  • Maintain neat, clean, and orderly appearance of reception area and lobby.
  • Exhibit best practices and professionalism with respect to policy, procedure and attendance.
  • Comply with standard operating procedures.
  • Maintain security by following established procedures and maintaining situational awareness

20% – Provide administrative support as assigned by supervisor, such as: ordering supplies, scheduling appointments, purchase order and invoicing support, arranging courier services, assisting with new hire and termination processes, data entry, filing, scanning, collating, preparing mailings, etc.

5% – Other duties as assigned.

 

Working Conditions

General office environment. Daily contact with the public. Requires moving up to 50 pounds and daily exertion, pushing and/or pulling carts or hand trucks, significant moving throughout the building as well as extended periods of being in one place and driving vehicle to make pickups and deliveries. Must be able to work from 12pm to 5pm, Monday through Friday. When filling-in for receptionist, workday may be 8am – 5pm.

 

Minimum Qualifications

  • Experience in shipping and receiving, a mailroom or in a similar role (in an office, coordinating mailing projects or responsible for large amounts of shipping or mailings).
  • Ability to represent the spirit and culture of OPB to visitors, guests, employees, volunteers and interns.
  • Excellent customer service
  • Strong verbal and written communication skills.
  • Experience using computer software tools (especially Microsoft Office).
  • Solution-oriented, well-organized, systematic, motivated and efficient.
  • Strong attention to detail.
  • Valid driver’s license with a clean driving record.
  • Punctual and reliable.
  • Ability to work in an active environment.
  • Familiarity with creating processes and procedures in an office setting.
  • Ability to learn new technology.
  • Enthusiasm for the mission of OPB.

 

Preferred Qualifications

  • Reception or administrative support experience strongly desired.

 

Additional Information

  • This position reports to the Operations Manager, is union represented and benefits eligible
  • The probable hiring range for this nonexempt position is between $17.33 to $20.19 hourly, depending on qualifications.
  • For the safety of our employees, the contractors/vendors we work with, and the public we serve, OPB has a mandatory COVID vaccination policy and all employees are required to show proof of vaccination.
  • This position has access to highly sensitive data and therefore must pass a background check.
  • This position requires a valid driver’s license and will requires consent to OPB conducting a driving record check. Employees will not be allowed to use a company or personal vehicle for work purposes without completion and satisfactory results of this check.
